3. Information we collect

Depending on how you interact with us, we may collect the following information.

Identity and contact information

Your name, address, date of birth, telephone number, email address, gender, profile photograph and emergency-contact details.

Membership information

Your membership plan, start and end dates, membership status, bookings, purchases, attendance, entry history, QR or access credentials and communications with us.

Payment information

Payment status, transaction history, billing details, direct-debit information and payment references. Card and banking information may be collected securely by ClubRight and its payment providers rather than being stored directly by Ripped Fitness.

Health and safety information

Information you provide through health questionnaires, PAR-Q forms or conversations with staff, including medical conditions, injuries, disabilities, medication, accessibility requirements and other information relevant to exercising safely.

Health information is treated as special-category personal data and receives additional protection.

CCTV and access information

CCTV images, dates and times of entry, access attempts, QR-code usage and records connected with the security of the gym.

Communications and marketing information

Enquiries, complaints, feedback, survey responses, marketing preferences and records of emails, telephone calls, text messages or other communications.

Website and technical information

IP address, browser, device, website activity and information collected through cookies or similar technology.

 

4. How we collect information

We may collect information:

  • Directly from you during registration, payment, booking or correspondence

  • Through ClubRight and its associated payment services

  • Through our website and online forms

  • Through the gym's access-control system

  • Through CCTV operating at the premises

  • From staff members when recording an incident or updating your account

  • From a parent, guardian or person paying for a membership

  • From publicly available sources where appropriate

5. How and why we use your information

We use personal information to:

  • Register and manage memberships

  • Take and record membership payments

  • Manage bookings, classes, passes and purchases

  • Provide and control access to the gym

  • Communicate about memberships, payments and services

  • Support members and answer enquiries

  • Consider health and accessibility requirements

  • Respond to accidents, incidents and emergencies

  • Maintain the safety and security of members, staff and property

  • Prevent unauthorised access, crime and fraud

  • Maintain financial, tax and business records

  • Handle complaints, disputes and legal claims

  • Improve our facilities, services and member experience

  • Send marketing where you have consented or where otherwise permitted by law

6. Our lawful bases

We only use personal information when we have a lawful reason. These reasons may include:

  • Contract: to create and manage your membership, payments, bookings and gym access.

  • Legitimate interests: to operate and improve the gym, provide customer support, protect the premises, prevent misuse and defend legal claims.

  • Consent: for optional marketing, certain cookies and, where appropriate, health information.

  • Vital interests: where information must be used during a serious medical emergency.

 

Where we process health information, we will normally rely on your explicit consent. We may also process it where necessary to protect someone's vital interests or establish, exercise or defend a legal claim.

You may withdraw consent at any time, although this will not affect processing that happened before consent was withdrawn.

7. ClubRight and other organisations

We use ClubRight to manage membership accounts, payments, bookings, communications and related gym services.

We may share relevant information with:

  • ClubRight and its authorised payment partners

  • Banks, card processors and direct-debit providers

  • Website, email, text-message and IT providers

  • Access-control, turnstile, CCTV and security providers

  • Accountants, insurers, legal advisers and professional consultants

  • Emergency services

  • Government bodies, regulators, courts or law-enforcement agencies where legally required

  • A buyer or successor if the gym or its business is sold or reorganised

These organisations only receive information necessary for their service or legal function. We do not sell members' personal information.

 

8. International transfers

Some technology providers may process or store information outside the United Kingdom. Where this happens, we require appropriate safeguards, such as UK adequacy regulations or approved contractual protections, to protect personal information.

 

9. CCTV

CCTV operates at the gym for member and staff safety, crime prevention, security, incident investigation and the protection of property.

CCTV is not used in toilets, changing rooms or other areas where people reasonably expect complete privacy.

Recordings are normally kept for no longer than 30 days, unless footage is needed to investigate an incident, respond to a complaint, assist the police or deal with a legal claim.

Access to CCTV is restricted to authorised people.

 

10. Gym access and automated checks

Our membership and access systems may automatically approve or deny entry based on matters such as membership status, access entitlement or payment status.

Members can ask staff to review an access decision if they believe it is incorrect. We do not otherwise make decisions producing significant legal effects solely through automated processing.

 

11. Marketing

We may send news, offers and gym updates where you have consented or where permitted by law.

You can unsubscribe at any time by:

You have an absolute right to object to the use of your personal information for direct marketing.

Service messages about payments, access, safety or your membership are not marketing and may still be sent where necessary.

 

12. Membership age

Membership is available only to people aged 16 or over. We do not knowingly accept membership applications from, or create membership accounts for, anyone under 16.

Members aged 16 or 17 may be asked to provide parent or guardian details where this is appropriate for their membership, safety or payment arrangements.

If we discover that information has been collected from someone under 16 in connection with a membership application, we will take appropriate steps to remove it.

 

13. How long we keep information

We keep information only for as long as reasonably necessary. Our usual retention periods are:

  • Membership, account and access records: for the membership period and up to six years afterwards

  • Financial and payment records: normally six years in line with accounting requirements

  • Health information: while relevant to the membership and normally no longer than three years after it ends, unless required for an incident or claim

  • CCTV: normally up to 30 days

  • Enquiries from non-members: normally up to 12 months

  • Complaints, accidents and incident records: normally up to six years, or longer where the person was under 18 or a legal claim requires it

  • Marketing information: until consent is withdrawn or you unsubscribe

 

We may retain limited contact information on a suppression list to ensure that someone who has opted out does not receive further marketing.

 

14. Security

We use reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure.

Access is restricted to staff and service providers who need the information for their duties.

No electronic system is completely secure, but any suspected data breach will be investigated and reported where the law requires it.

 

15. Your rights

Depending on the circumstances, you may have the right to:

  • Request a copy of your personal information

  • Correct inaccurate or incomplete information

  • Request deletion of information

  • Restrict how information is used

  • Object to certain processing

  • Receive certain information in a portable format

  • Withdraw consent

  • Ask for a human review of an automated decision

  • Complain about how your information is handled

These rights are not absolute and some legal exceptions may apply.
